Allura Sex Therapy Centre is BC’s leading trauma-informed therapy practice that exclusively focuses on sex, sexuality, and relationships. We are passionate about providing exceptional attachment-focused sex therapy services with additional focuses in relationship and trauma therapy, providing a supportive environment for both clients and team members. 

We have 2 locations in BC: one in beautiful Downtown Vancouver and another in the quiet community of Oak Bay in Victoria, BC; our services extend virtually across BC and Canada (unregulated provinces only).

We’re seeking an experienced Clinic (Operations) Manager to join us in our newest chapter as a boutique sex therapy clinic; someone organized, grounded, and compassionate to keep our clinic running smoothly and ensure both clients and clinicians experience exceptional care.

The Clinic Manager is the operational and administrative heart of Allura. This person oversees the clinic’s day-to-day operations, ensuring that systems, billing, client communication, and our physical space all run seamlessly.

You’ll be the first point of contact for many clients, the go-to person for our clinical team, and the anchor who keeps everything organized behind the scenes.

This role blends office management, client care, and systems oversight, ideal for someone who loves detail, consistency, and creating calm in a busy environment.

Key Responsibilities

Operations & Systems

  • Maintain and optimize JaneApp, Go High Level (CRM), Google Drive, Squarespace, and Waybook

  • Develop and update SOPs that support operational efficiency, client care experience, and therapist experience

  • Track KPIs, build dashboards, and highlight key insights across the clinic (i.e.,referrals, cancellations, utilization)

  • Work closely with the Clinic Director to ensure all operations reflect Allura’s values and vision

  • Identify operational patterns and opportunities for improvement

Billing & Finance

  • Complete daily billing and reconcile accounts for therapy sessions

  • Process third-party, direct billing, and EAP billings

  • Follow up on unpaid invoices and communicate with clinicians as needed

  • Submit monthly expense reports and receipts to the bookkeeper

Client & Clinician Support

  • Respond to client calls and emails with professionalism and warmth

  • Support new clients with therapist matching and re-referrals

  • Answer administrative questions from clinicians

  • Process contractor invoices

  • Oversee and optimize clinician room bookings, schedules, and onboarding logistics

Office & Vendor Management

  • Keep the clinic space organized, stocked, and welcoming, monitoring and tracking utilization of supplies

  • Manage vendor relationships (phone, internet, supplies)

  • Coordinate maintenance or repairs with the the building manager

Team & Culture Support

  • Collaborate with the Clinic Director to plan and organize team events and gatherings

  • Coordinate logistics (venues, catering, materials, communication)

  • Provide operational and administrative support during trainings

  • Contribute to maintaining a positive, connected team culture

You’d Be a Great Fit for Our Team If You:

  • Enjoy balancing people-facing and system-facing work

  • Have 3+ years of experience in office, clinic, or administrative management (preferably in healthcare or wellness)

  • Are confident using platforms like JaneApp, Go High Level, or similar systems

  • Take pride in being organized, reliable, and detail-oriented

  • Communicate clearly and with warmth, even in busy moments

  • Are proactive in finding solutions and improving systems

  • Thrive in an environment that values professionalism, empathy, and collaboration

The Details

  • Full-time (37.5 hours/week)

    • The hours are generally 9am-5pm daily; shifts may run 8am-4pm or 10am-6pm as needed and discussed

  • 4 days per week, Monday to Thursday, in-person in our Vancouver office, with WFH Fridays

  • Will need to feel comfortable running errands at times during your shift to Costco, grocery store, coffee shop, etc.
